The application provides patient search functionality to locate patient records efficiently. The feature offers two distinct methods for locating patient records:
Instant Search
Advanced Search
Together, these options allow you to control how broadly or narrowly the application searches patient data. This improves search accuracy, speed, and overall ease of finding patient records.
Patient search criteria
The application allows you to search both alphabetic and numeric keywords. Also, the application follows a predefined search order in order to prioritize the most relevant patient records. When you enter an alphabetic keyword, the application searches in the following order:
First Name
First Last Name
Second Last Name
Email ID
Gender
Address
When you enter a numeric keyword, the application searches in the following order:
Costa Rica ID
Patient Identifier (PID)
Policy Number
Date of Birth
Phone Number
Instant Search
The Search field located at the top of your screen provides the fastest way to find patients. You can search for the required patient using multiple patient data fields at once. The application displays real-time results as you type.
Prerequisite:
Administrators must configure the required instant search filters in Global Settings. The application uses these filters during the search process and displays results based on the selected filters.
The instant search function has two primary outcomes based on your actions.
For quick results - Type a search term (e.g., a name, a date of birth, or part of an address) into the search bar. The application displays a dropdown list of matching patients in real time.
In the search results, the application highlights the matching search term to help you quickly identify its context.
For a full report - Type your search term and press the Enter. The application loads a comprehensive Matching Records page. This report provides more detailed information on all matching patients.
Instant search parameters
You can customize the search parameters to limit results to the required items and thereby retrieve relevant records quickly. You can initiate an instant search based on the search parameters that the administrator has enabled in the Global Setitngs page. Depending on the configured parameters, the application limits search input to only the selected parameters. The application displays the selected parameters as highlighted in blue color under Instant Search Filters within the Advanced Search section.

Note:
Instant Search Filters define which fields users can search. The application does not consider the keywords outside the selected parameters.
From Global settings, administrators can enable one or more of the following search parameters:
All Tags
Name
PID
Costa Rica ID
Gender
Date of Birth (DOB)
Contact Email
Phone Number 1
Address
Policy Number

Advanced search
Advanced Search provides a focused method for finding patients using specific fields for search terms. This approach works well with precise information like exact names, dates of birth, or patient IDs. Advanced Search differs from Instant Search, which scans multiple fields at once and targets specific fields for controlled results.
The advanced search section displays available fields, each field corresponding to specific patient data. You can enter search terms into relevant fields. The application searches the database and retrieves matching patient records based on entered details.
This method reduces irrelevant results, and you can locate correct patient records on the first attempt. Advanced Search excels when filtering by multiple known patient details or when Instant Search returns excessive matches.
To search a patient record using the advanced search feature
In the Search field of the application, click the Search Filters icon (
).

Enter the required details into the respective fields.
Click Search Now.
The application displays the Matching Records page.

The Matching Records page lists information on all matching patients.
Select the required patient in the Matching Records page.
The application displays the Patient Facesheet.

FAQ
Where is the instant search bar located?
The instant search field, labeled Search Patients, PID, SSN etc.., is located at the top-left of your page. This search field is accessible from anywhere within the application.
Can I search by partial information (e.g., only the last four digits of a phone number)?
Yes. The instant search feature supports partial text matching.
Example:
Typing Joh will match patients named John, Johnny, Johnson, etc.
Typing 123 will match addresses, phone numbers, or IDs containing 123.
How do I clear all advanced search fields?
Click Reset All in the search criteria menu. This clears all the fields and resets all selections, allowing you to start a new search with fresh criteria.
What are the available ways to search for a patient record?
Instant Search for quick, real-time results across multiple fields.
Advanced Search for precise searches using specific patient fields.
What types of keywords can I use to search?
You can search using:
Alphabetic keywords (names, email, gender, address)
Numeric keywords (IDs, phone numbers, policy numbers, DOB)
Who configures the instant search filters?
Administrators configure instant search filters from the Global Settings page.
How do the instant search filters affect your search results?
When you use the instant search, the application searches only within the filters enabled by the administrator.
Example:
If the administrator enables only Name and PID as Instant Search Filters, and you search using a Phone Number, the application searches only the Name and PID fields. Since phone number is not an enabled filter, the search does not return results based on the phone number.
Do the Instant Search Filters configured by the administrator affect Advanced Search?
No. Instant Search Filters apply only to Instant Search. They do not affect Advanced Search.
